How to Submit a Gem

Here’s your step-by-step guide to submitting gemstones to GESC for evaluation. Start by filling out the online request form — our gemologists will review your request and notify you within 3–5 business days. If approved, you’ll receive instructions for making payment through your account. Once payment is completed, prepare and pack your gem(s) securely, then follow the shipping or hand-in instructions. We’ll confirm once your parcel is received and proceed with the evaluation.

Submission steps

  1. Step 1

    Fill Out The Online Form

    Tell us about the owner, gem type, dimensions, cut/shape, and upload clear photos (JPG/PNG). A reference code is generated when you submit.

    Tip — one memo per gem is recommended for faster handling.

  2. Step 2

    Pre-Review & Confirmation

    Our gemologists will review your request and notify you within 3–5 business days whether it can proceed. You’ll receive an email with follow-up instructions.

  3. Step 3

    Proceed to Payment

    Complete payment via the link in the confirmation email (or your submission record). Once payment is confirmed, prepare to send or hand in the item.

  4. Step 4

    Pack & Ship / Hand-In

    Use a trackable method (Canada Post Xpresspost, UPS, FedEx) and insure as appropriate. Hand-in by appointment is also available.

  5. Step 5

    Receipt Confirmation

    We’ll email you once your parcel is received and logged into the queue.

  6. Step 6

    Evaluation & Return

    Evaluation typically completes within 3–5 business days after logging. We’ll notify you to collect, or we’ll arrange insured return shipping. Documentation (photos/report) is provided as applicable.

Packing guide

  • 1 Use a gem jar / small box inside a padded mailer.
  • 2 Prevent any movement; avoid contact scratches.
  • 3 Include your memo reference inside.
  • 4 For multiple pieces, separate each piece in its own container.

Optional — add bubble wrap outside the inner box before placing into the courier satchel/box.

FAQ

How long does it take?
Initial review replies are usually sent within 3–5 business days. Full evaluation timelines vary by stone type, queue, and requested services.

Can I walk in without an appointment?
Please book in advance. Drop-offs may be arranged during business hours (see sidebar).

Do you insure shipments?
Insurance during transit is the sender’s responsibility. We recommend using a trackable, insured service.
